Job Description:

  • Establish and implement policies and procedures
  • Assign, co-ordinate and review projects and programs
  • Record and prepare minutes of meetings, seminars and conferences
  • Determine and establish office procedures and routines
  • Schedule and confirm appointments and meetings of employer
  • Manage contracts
  • Answer telephone and relay telephone calls and messages
  • Oversee the analysis of employee data and information
  • Answer electronic enquiries
  • Oversee the preparation of reports
  • Respond to employee questions and complaints
  • Order office supplies and maintain inventory
  • Liaise with management, union officials and HR consultants
  • Negotiate collective agreements on behalf of employers or workers
  • Organize and administer staff consultation and grievance procedures
  • Oversee payroll administration
  • Plan, organize, direct, control and evaluate daily operations
  • Arrange travel, related itineraries and make reservations
  • Greet people and direct them to contacts or service areas
  • Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms and other documents: Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy
  • Perform data entry
  • Maintain and manage digital database
  • Perform basic bookkeeping tasks
  • Consult with clients after sale to provide ongoing support
  • Conduct performance reviews
  • May compile data, statistics and other information to support research activities
  • May supervise and train office staff in procedures and in use of current software
  • May arrange and co-ordinate seminars, conferences, etc.

Requirements:

Education: Completion of high school is required.

Completion of a one- or two-year college or other program for administrative assistants or secretaries OR previous clerical experience is required.

Experience: A minimum of 1 year of work experience in office administration including maintenance of inventory, proofreading and preparation of statements and reports is required.

Supervision (if required): 1 to 2 people

Salary: $25.00 hourly, 40 – 44 hours per week.
