The PICS team provides a variety of centralized functions within the Revenue Division in the areas of public information and communication, corporate services, outreach services, project, and budget management.

As Program Assistant you will provide a variety of office administrative, secretarial and financial support services for the branch and coordinate the day to day priorities of Executive Director. This role requires an individual with good interpersonal communication and multi-tasking skills, strong attention to detail and who easily adapts to shifting priorities and competing demands. Job Requirements: 

In order to be considered for this position, your application must clearly demonstrate how you meet the education and experience as outlined below:

  • Secondary school graduation or equivalent.
  • A minimum of 2 years administrative/secretarial experience gained in a professional office setting, working in a confidential capacity.
  • Experience managing an electronic calendar, booking meetings and appointments, and compiling files, correspondence and resource material.
  • Experience typing, formatting, proofreading a variety of documents using standard applications such as MS Word, Excel, Outlook, etc.
  • Experience responding to routine verbal and written inquiries from the public, internal/government staff and other agencies.

Preference may be given for:

  • Post-secondary education/training in a field related to Office, Business or Public Administration.
  • Experience providing administrative services to higher level management.
  • Records management experience such as: using manual or electronic filing systems, preparing and managing files and documents, determining file assignment, and conducting document retrieval.
  • Experience booking/making travel arrangements.
  • Experience with ARCS/ORCS.
  • Financial support experience such as monitoring expenditures, coding and processing business expense forms and invoices, reconciling purchase card expenditures, administering petty cash account, checking accuracy and completeness of financial documentation.
