We currently have an opportunity to join the Laurier community as a Marketing and Communications Specialist.

Reporting to the Manager, University Relations, the Communications Specialist will provide excellent customer service to the community that comes into the Laurier Toronto Office. This position will promote all aspects of Laurier out of the Toronto Office. The incumbent will be primarily responsible for delivering and leading events and deploying digital communications, accountable to the Manager, University Relations. The incumbent will support all initiatives designed to create positive Laurier brand awareness within the Toronto community. They will provide logistical support in the running of guest lectures, panel discussions, and events initiated for the Toronto Office as well as Laurier Toronto’s social media outreach. The incumbent is also tasked with the preparation and maintenance of a strategic roadmap for content creation and stakeholder engagement.

This position has a university-wide mandate and is based at the Toronto Office. The incumbent provides leadership in a multi-campus environment, requiring regular interaction, communication and collaboration with staff and stakeholders at the Waterloo Campus, Brantford Campus, Toronto office and external partners.

Hours of Work: The normal hours of work are 8:30 am to 4:30 pm, Monday to Friday. Flexibility in hours will be required, including evening and/or weekend work due to special events. When possible, the manager will adjust the work schedule so that no more than 35 hours are worked in a week.

Accountabilities : Event Logistics & Planning:

  • Lead Laurier Toronto event planning activities on events such as open houses, student and employer recruiting events, launches, speaker series, and marketing events
  • Coordinate logistical requirements of Toronto events (budgeting, set-up, bookings, administrative support, catering quotes, assistance in hosting events, etc.)
  • Coordinate the administrative requirements of events, i.e. registration set-up (including web based registration), space bookings, print, promotional and archiving needs, media technology requirements, mailings, maintaining guest lists and RSVPs, name-tags, student staffing, catering and rental requirements, on-site administrative support, hosting, etc.
  • Maintain a database of event guests and post event analysis.

Communications, Digital Marketing and Social Media:

  • Prepare and execute a social media strategy for the Laurier Toronto office
  • Support the marketing strategy for the Laurier Toronto office
  • Prepare and review engagement reports for social media to identify trends and establish best practices
  • Responsible for the execution and upkeep of Toronto Office digital marketing
  • Interact with audiences regularly through social networks
  • Responsible for content and copy creation to support the work of University Communications including but not limited to newsletters (online and print), speaking notes, copywriting, etc.
  • Other digital marketing duties to support the work of University Community Relations and Laurier

Administrative Responsibilities:

  • Administrative support to the Laurier Toronto Office and the University Community Relations team
  • Front desk reception, which includes representing all Wilfrid Laurier University programs to Toronto community, answering general inquiries about Laurier’s program offerings, assisting in resolving issues/concerns or directing them to the appropriate response
  • Coordinate internal and external bookings in the Toronto Office
  • Ensure the readiness of the office environment for the day-to-day operations of the internal client staff
  • Maintain Toronto campus visitor statistics and provide monthly traffic reports, trend analysis and recommendations to Manager
  • Consistent focus on enhancement and innovation through best practice research and application
  • Other administrative duties to support the work of Laurier

Qualifications :

  • University degree; minimum 2 years of related experience
  • Analytical, problem solving and decision-making skills
  • Demonstrated ability to work with a variety of stakeholders both internal and external to the University (e.g. faculty, staff, students, volunteers, alumni, businesses, professional associations) with competing demands
  • Demonstrated understanding of academic programming across faculties at Laurier
  • Superior time management, organizational and interpersonal skills
  • Proficient use of University office software including presentation, desktop, database packages, and the web
  • Direct experience in dealing with budgets, accounting practices and controls
  • Demonstrated experience in special event planning
  • High degree of social and emotional intelligence. Superior collaborative, listening and people skills
  • Adaptability, able to work in an evolving environment. Able to switch gears and get things done as needed to ensure the smooth functioning of programming.
  • High degree of professionalism
  • Ability to work efficiently and respectfully in teams. Understands how individual, groups, and societies work and engage effectively in savvy, subtle, and honest ways

Salary : $49,270 to $61,586
Salary Notes : This is a full-time, limited term position until July 31, 2019.
