The Executive Administrative Assistant (EAA) reports to the Assistant Deputy Minister (ADM). The EAA is accountable for providing a full range of executive administrative support services for the ADM, including organizing time-sensitive, documentation for ADM meetings. The EAA is responsible for organizing travel itineraries which includes booking flights, hotels, car rentals, etc., and handling expenses such as iExpenses, purchasing card reconciliations along with petty cash for the Assistant Deputy Minister’s office (ADMO). Other priorities include managing the ADM’s calendar with many changes on short notice, preparing for meetings, and backing up the Document’s Coordinator and vice-versa in each other’s absence. Able to manage and organize divisional activities and records management administration.

In order to be considered for this position, your application must clearly demonstrate how you meet the education and experience as outlined below:
- Secondary school graduation or equivalent (GED) plus a certificate in office administration; OR
- An equivalent combination of education or experience may be considered.
- Minimum 2 years’ executive office experience working in a confidential capacity.
- Experience booking travel directly without using a travel agent, which includes booking flights, hotels, car rental, and taxis;
- Experience assisting a Deputy Minister’s Office with booking meeting rooms during Federal/Provincial/Territorial meetings for the Minister, Deputy Minister and Assistant Deputy Minister;
- Experience using MS Office, Word, Excel, PowerPoint, Outlook and SharePoint and OneNote;
- Preference maybe given to applicants with experience working in an Assistant Deputy Minister (ADM) or Deputy Minister (DM) office environment.
