The Specialized Services Division (SSD) leads the service transformation across the health sector, bringing together key mandated initiatives and specialized services for priority populations adding enhanced value and focus to health sector areas requiring substantive change. SSD is responsible for core service/policy development for specialized services (home and community care, residential care, mental health and addictions, wait times, surgical services, diagnostic imaging, cancer care) while ensuring a strong linkage to transformation activities and ensuring consistent and coordinated delivery of specialized services to patients.
In the Executive Administrative Assistant role, you are responsible for the efficient operation and administration of the office of the Assistant Deputy Minister ADM) or officially recognized equivalent, by providing a wide range of operational, administrative and financial support services, and providing a well-organized and effective environment in which the Assistant Deputy Minister can operate. Highly organized and motivated, you capably prioritize and manage your workload to meet deadlines, using your outstanding eye for detail to ensure all work is carried out to a high standard. You are an effective communicator, able to successfully establish and maintain effective working relationships with a variety of stakeholders, and demonstrate initiative and good judgment in applying procedures within established policies and guidelines.

In order to be considered for this position, your application must clearly demonstrate how you meet the education and experience as outlined below:
- Certificate in Office Administration or an equivalent combination of education, training and experience.
- Minimum of 3 years progressively responsible administrative experience with a minimum of 6 months of this experience working in an executive environment, (such as for the Executive Director, Assistant Deputy Minister and/or Deputy Minister).
- Experience handling and maintaining confidentiality when handling sensitive information.
- Experience with office administration procedures, such as planning and organizing meetings, calendar management and coordinating travel requests (this includes for the Executive Director, Assistant Deputy Minister and/or Deputy Minister).
- Experience in word processing and other computer applications such as spreadsheets, databases, Internet and mail tracking systems.
- Experience establishing and maintaining operational and administrative processes including records management processes.
Preference may be given to applicants with:
- 1 year experience providing administrative support to executives or senior management.
- Experience using iexpense.
