NationTalk is looking for experienced, reliable, and task-oriented candidates suitable for the role of Executive Assistant. The Executive Assistant will work directly with the company CEO, as well as other team members, and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload in a fast-paced environment. This is an excellent opportunity to join a growing Indigenous media and technology business, located in Toronto.
Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients
Prepare internal and external documents and/or reports for executive, team members, clients, and partners (including research, analysis, and writing)
Uphold a strict level of confidentiality, including external clientele and partners
Develop and sustain a level of professionalism among staff and clientele
Contributes to team effort by accomplishing related tasks as directed
Review professional publications, participate in professional societies
Keep sales and admin timelines consistent and up to date
Help in the acquisition and production of digital information
Ability to help monitor sales team/projects for accuracy and efficiency
Maintain professional and technical knowledge by attending client workshops
Other duties as requested or required
Skills & Qualifications:
4+ years of experience as an Executive Assistant, preferably reporting directly to senior management
Experience in media and/or technologies is an asset
Motivated and proactive, self-starter, with a strong work ethic, who is able to work with little supervision
Great organization and time management skills with amazing attention to detail
Exceptional English communication – reading, writing, & speaking (French bilingual an asset)
Internet and Technology savvy, proficient in diverse internet research
Contact management and data entry experience
Establishing personal & digital or virtual networks
Knowledge in using Gmail, Google Calendar, Drive, Dropbox, etc.
Knowledge in using General Office software: MS Office (Word, Excel, PowerPoint)
Maintain an organized filing system (paper and electronic)
