We currently have an opportunity to join the Laurier community as a Outreach and Program Coordinator (Sustainability Office).
The main goals of this position are to coordinate the outreach, education, and development components of the Sustainability Office’s (the Office) programs and services. The Outreach and Program Coordinator will manage existing programs and initiatives of the Office and will help with the development of new initiatives in alignment with Laurier’s Sustainability Action Plan. The position will also lead the Office’s engagement strategy and execution, including campaign design, media publications, event coordination, and public speaking. The position will work in co-operation with Communications, Public Affairs and Marketing with regard to media relations, external communications and graphic design.
This position has a university-wide mandate and is based at the Waterloo Campus. The incumbent provides subject matter expertise to all campuses, requiring regular interpersonal interactions and collaboration with departments at the Waterloo Campus, the Brantford Campus, the Toronto office and external partners. Special attention is given to ensure equitable service delivery across all locations.
The normal hours of work are 8:30 am to 4:30 pm, Monday to Friday. Flexibility in hours will be required, including evening and/or weekend work due to special events. This is a full-time, limited term position with an anticipated start date of April 15, 2019 until December 20, 2019.
- Lead the development, planning and execution of engagement initiatives, including existing programs, new programs as well as assisting other departments and groups with their sustainability efforts.
- Develop and promote campaigns, events, and contests on campus like the Residence Energy Competition, Orientation Week events, Earth Hour, and Commuter Challenge.
- Collaborate with campus groups and external stakeholders on sustainability initiatives (e.g. EcoHawks, NetImpact, LSPIRG, Sustainability Council, Sustainable Campuses Committee, Young City Growers, Sustainable Waterloo Region, etc.).
- Develop metrics and tools to track progress and improvements; Analyze data regarding program evaluation and undertake iterative improvements to achieve goal.
- Design and develop sustainability training for employees and students via online and in-person methods.
- Develop professional relationships/network with internal and external colleagues to support new and existing partnerships and programs (including campus groups/clubs).
- Develop student volunteer programs and undertake student recruitment, hiring, and oversight.
- Represent the Office at campus partner events (O-Week, GSA Fair, Open Houses, March Break, etc.).
- Represent the Office at various stakeholder events and meetings (e.g. TravelWise, SWR, Waterloo Sustainability Professionals, IMPAcT, AASHE, OCUSP, etc.)
Assessment and Reporting
- Support the collection of data and complete formal reporting documentation for Sustainability Tracking, Assessment and Rating System (STARS), Laurier’s annual sustainability report, the Council of Ontario University’s Going Greener report, Sustainable Waterloo Region, Fairtrade Campus and others as required;
- Conduct research internally, externally, and through stakeholders for program development and communication purposes;
- Gather, maintain, and analyze data related to project success and challenges;
- Follow existing sustainability metrics as set out by the Sustainability Action Plan.
Communications and Marketing
- Develop and maintain campus wide sustainability Engagement Strategy;
- Develop strategies that identify and prioritize audiences to advertise sustainability programs via promotional incentives, campaigns, and events;
- Define new and refine existing communications programs;
- Work in co-operation with Communications, Public Affairs and Marketing to co-ordinate and lead media projects (e.g., promotional videos, photography spreads);
- Develop, implement and manage the Office’s digital footprint (i.e., web and social) and outreach channels (e.g., LUCID dashboard, campus screens, newsletter, etc.) to increase engagement;
- Lead development and continual improvement of digital/social media communications strategy, including ongoing development of editorial calendar, content creation and graphic design, and monitoring / analysis of traffic data;
- Coordinate the publication process for e-resources;
- Create content for presentations and outreach efforts and regularly present the status of campus sustainability to staff and students;
- Work with the Communications Public Affairs and Marketing Department to update and produce promotional materials, including such things as media kits, posters, pamphlets, brochures, web pages, news releases, and other publications;
- Regularly submit articles, awards and presentation proposals to private and public forums for publication, conference presentations, press and other media opportunities;
- Act as a contact for staff and student groups and initiatives on campus; provide information by answering questions and requests.
- Develop and undertake print and online advertising strategy and campaigns, including developing creative materials for advertisements.
- Prepare creative designs for engagement purposes, including but not limited to annual reports, action plans, guides, maps, digital content, ads, posters, and physical features (e.g. controller box design).
- Undertake photography for projects, programs, and events for use in marketing and communications.
- Oversee Sustainability Office student employees, student volunteers, committees, working groups (e.g. design labs), and/or students, when applicable, to support sustainability initiatives;
- Co-ordinate meetings and communications between stakeholders;
- Write funding applications as required for new projects;
- Assist in maintaining programming budget;
- Maintain supplies inventory by checking inventory levels; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies;
- Maintain knowledge on current industry trends through workshops and professional development (e.g. quarterly SMAG meetings)
- An undergraduate degree in a related field (Environment, Business, etc.) with at least 2 recent related years of professional experience;
- Knowledge and familiarity of campus sustainability programs and structures;
- Thorough understanding of sustainability concepts including energy conservation, greenhouse gas emissions reduction, waste management, sustainable design and operations, alternative transportation, food systems, and organizational behavior and culture change;
- Knowledge and experience in behaviour change approaches (e.g., Community-based Social Marketing) and their application in the field of sustainability;
- High degree of initiative, with the ability to work both independently and as part of a team;
- Proven ability to take initiative and work collaboratively with academic and administrative staff, alumni, students and volunteers; High degree of discretion and judgment; ability to resolve complex and difficult situations with tact and diplomacy;
- Strong analytical and research skills with the ability to interpret and synthesize information gathered from a variety of sources to generate reports;
- Strong experience with social media, including projects for web, video and photography mediums with a particular focus on mobile applications;
- Possess strong organizational and time management skills, with the ability to support multiple projects of various types at difference stages ;
- Demonstrated knowledge of, and experience with, marketing and public relations and their application in the complex university setting and ability to use sound judgment in following policies and procedures, using creativity to solve problems is highly desirable;
- Demonstrated skill in public speaking and comfort in representing the university and the Sustainability Office to a varied group of audiences, including executives, academics, students, staff, and community members;
- Proven ability to engage audiences in initiatives to generate interest and participation.
