Reporting to the Manager, Academic Materials the Shipping/Receiving Order Fulfilment Coordinator is one of two positions accountable for the centralized shipping & receiving procedures of Retail Services Bookstore and the order fulfilment of online web orders. Attention to detail is imperative as the incumbent is responsible for the accuracy of inventory data entered into the VR receiving module, order fulfilment (online order) process and the distribution of merchandise to the sales floor and storage areas. The incumbent ensures accuracy of system inputs by verifying quantities, cost, retail price and condition of merchandise upon receipt of delivery. The incumbent will also prepare outgoing shipments, return merchandise to vendors (Publishers and Suppliers) ensuring proper paperwork, customs, bill of landing are completed and accurate. The incumbent is also responsible for the Bookstores Order fulfilment (online order) process, ensuring orders are processed in a timely manner meeting customer expectations and providing exceptional service.
This position is based at the Waterloo Campus and requires regular interpersonal interactions and collaboration with departments at the Waterloo Campus, the Brantford Campus, the Toronto office and external partners. Special attention is given to ensure equitable service delivery across all locations.
Responsible for the accuracy of receiving information entered into the VR receiving module (quantity, cost, retail price & discount)
Required to solve discrepancies with supplier invoices and orders received, as well as requesting appropriate paperwork to ensure shipment clears customs and is received in a timely manner
Responsible for accurately competing the Order fulfillment (online order) process for the Bookstore, ensuring all customer orders are processed in a timely manner, surpassing customer expectations
Ensure adherence to security procedures and protocols in the safeguarding of inventory
Runs weekly and monthly receiving reports (unworked delivery & unposted delivery reports etc.) taking appropriate action to ensure all receiving is up to date
Keeps abreast of policies and procedures concerning freight lines, couriers and customs
Unloads incoming delivery trucks, verifying carton counts from shipping manifest and signing for delivery;
Unpacks incoming merchandise, verifying quantities, ISBN or SKU, cost and price
Data entry (scan process) of merchandise & auditing of receiving documents in the Ratex Inventory Management System, completing the receiving process, verifying quantities, discounts and price with invoice/pack slip;
Price tag and Security tag all incoming merchandise, ensuring merchandise is prepared for the sales floor
Organizes and records course material overstock in warehouse area, providing report to buyers and manager
Matches invoices and accounting distribution reports, forwarding to appropriate buyers for approval & signature
Ensures received merchandise is shelved in the appropriate locations in the stock room
Distributes merchandise to the sales floor for shelving;
Distributes merchandise occasionally via Bookstore service vehicle to various locations across campus (i.e. Hawkshop, Stadium) for special events etc;
Maintain and organizes work area in a safe and efficient manner, keeping work area and storage rooms clean and organized
Maintains accurate record of all shipments (delivery logs)
Order Fulfilment (online web orders)
Responsible for the Order Fulfilment Process
Accesses and prints customer orders from ecommerce system, pulls merchandise and verifies customer web orders
Completes web order transactions, packaging orders and preparing orders for pick-up and/or shipping, updating customer order with courier tracking number and information;
Maintains accurate and organized files of customer web orders
Processes web order refunds via multiple secure websites (i.e. credit card, onecard)
Provides follow-up customer service per customer web order inquiries
Works with Information Specialist on any technical issues relating to ecommerce customer transactions
Organizes and prepares the course materials sales floor each term, ensuring layout allows adequate shelving space for each discipline
Prepares stock piles of course materials in a safe and attractive display, clearing marking each with price and course information
Maintains store appearance and work area in a safe clean organized fashion, maintaining a high level of visual presentation
Assists Course Materials Co-coordinator in the pulling and preparing textbook returns each term (Fall, Winter and Spring);
Inventories and pulls overstock course packages, recording write-offs and moving packages to storage location
Shelves and organizes incoming Textbooks in appropriate locations;
Assists with set-up for special events and sales
Ensures overstock is clearly marked and organized in the stock room for easy access;
Assists with annual inventory and regular cycle counts;
Minimum high school diploma plus one (1) year related experience including retail and customer service experience;
Experience in a fast paced work environment;
Demonstrated attention to detail & accuracy
Proven ability to lift heavy materials (up to 80lbs) ;
Computer knowledge including knowledge of an inventory management software (i.e. Ratex), e-commerce application and shipping vendor software;
Excellent interpersonal and communication skills;
Strong organizational skills including strong attention to detail and accuracy is essential;
Strong multi-task and prioritizing skills with the ability to work under pressure;
Valid Driver’s License with clean driving record;
Excellent problem solving/troubleshooting skills.
$26.04 to $30.65
Salary Notes :
This is a full-time, limited term position with an anticipated start date of February 2 until June 4, 2018.
This position is represented by the WLU Staff Association bargaining unit.
