The First Nations Housing Professional Association (FNHPA) is a new professional association committed to excellence in expanding housing management capacity for First Nations organizations. FNHPA is seeking a highly motivated, well organized, personable, technologically savvy, and dynamic individual who will be responsible for providing administrative support to the Education Manager in coordinating and maintaining all educational programs for the First Nations Housing Professionals Association.

Duties and Responsibilities

Provide direct administrative and coordination support to education activities, including:

  • Being the first point of contact with all current and potential students.
  • Registering students for courses, including coordinating invoicing with finance for course fees.
  • Preparing materials for courses/ workshops.
  • Ensuring students have access to the online teaching platform, learning tools and resources.
  • Providing troubleshooting support to students working on the online platform.
  • Coordinating meeting space for in-person courses/ workshops.
  • Supporting the Education Manager with courses /workshops participation information.
  • Coordinating certificates of completion and sending out grades.
  • Assisting with the delivery of the professional examination.
  • Supporting Instructors with course learning platforms.
  • Formatting class materials to align with FNHMA branding.
  • Supporting relevant internal policy development.
  • Occasional travel to support FNHPA booths at conferences and tradeshows.
  • Performing other related duties that support FNHP’s program and operational function as assigned by the Educational Manager.
  • Arranging course sessions and facilitator orientation sessions, providing support to, and managing records for students and potential students.
  • Supporting the maintenance and distribution of the PLAR information guide, self-assessment tool, and evidence grid.
  • Identifying and recommending opportunities based on emerging housing trends to the Education Manager.
  • Assisting in ensuring efficient and effective systems, procedures, tools, and administrative standards for the education function.
  • Preparing, editing, and proofreading correspondence, assessment feedbacks, presentations, brochures, publications, reports, and related material.
  • Drafting varying reports on the FNHP program activities such as course registrations, examinations, course results, evaluations, etc.

Qualifications & Experience

Education
  • Minimum two (2) year diploma or certificate in administrative studies or an equivalent combination of education and work experience
Experience
  • Minimum two (2) years’ experience in a related position is required.
Knowledge
  • An understanding of First Nations Housing issues and services.
  • Computer literacy in Windows environment, Microsoft Office suites and social media platforms.
  • Experience with Moodle is an asset.
  • Fluency in both French and English is an asset.
Preferred Skills and Abilities
  • Excellent written and oral communication skills and highly developed minute taking/writing skills.
  • Ability to assess, prioritise and resolve problems.
  • Strong customer service orientation.
  • Strong computer skills (word processing, spreadsheets, PowerPoint).
  • Ability to work with members and co-workers in a professional manner.
  • Conflict resolutions skills.
  • Well developed planning, organizational, and time management skills.
  • Tact, discretion, and the ability to use sound judgment when dealing with sensitive and confidential matters.
  • Manage multiple deadlines and change in priorities with ease.
  • Ability to maintain high accuracy and thoroughness when executing tasks.
