Executive Assistant to Director of Infrastructure
Wiikwemkoong Infrastructure Department is seeking to fill the position of Executive Assistant to the Director of Infrastructure. Wiikwemkoong Unceded Territory (WUT) Infrastructure Department oversees the following sectors, Public Works (roads, solid waste, water and wastewater), Technical Services, Community Building Maintenance, Fire Protection, Housing, Arena, Rental Property Management, and all capital projects.
RESPONSIBILITIES
- Prepare professional and confidential correspondence, memos and documents
- Coordinate and document dates of meetings, and record notes during meetings
- Prepare and maintain Infrastructure Department – Senior Management (Public Works, Housing, Rental Property Management, Fire Protection, Arena, Technical Services, Building Maintenance) task lists
- Liaise with Senior Management Team to develop meeting agendas, prepare reports and obtain material for the Director of Infrastructure
- Coordinate and organize travel accommodations, meeting space, food and other supplies for meetings
- Maintain an effective filing system for the Director of Infrastructure
- Coordinate, keep up-to-date and maintain work schedules and calendars and send reminders to the Director of Infrastructure of scheduled meetings, speaking engagements and appointments
- Conduct research, collect quotes and compile information
- Assist with special projects when required
- Maintain and present a positive and professional image of the executive office at all times
REQUIREMENTS
- Post Secondary diploma or degree in Business Administration and/or Technology related program.
- Knowledge of sensitivity to Anishnaabe culture
- Knowledge of Wiikwemkoong Unceded Territory’s programs and services.
- Knowledge of external agencies related to First Nations operations.
- Excellent communication and interpersonal skills.
- Excellent conflict resolution and problem-solving skills.
- Sr executive administrative experience in an Anishnaabek and/or non-profit Agency working with Sr Management, Chief and council and committees would be an asset.
- Experience working with various office systems and proficient computer skills.
- Ability to manage multiple priorities and work in a fast-paced environment
- Ability to demonstrate a high level of initiative
Salary: $77,000.00
