Job duties and responsibilities:

  • Oversee and co-ordinate office administrative procedures
  • Review, evaluate and implement new administrative procedures
  • Delegate work to office support staff
  • Schedule and confirm appointments
  • Communicate with vendors and supply companies
  • Coordinate and schedule with sub-contractors
  • Assemble and organise data, store paperwork, invoices and computer-based information, prepare reports, manuals and correspondence
  • Assist with maintaining record keeping and filing systems
  • Answer and respond to incoming calls and e-mails
  • Classify, sort, and file all applicable correspondence, reports, and other documents
  • Complete a wide variety of spreadsheet tasks by assisting in the preparation of administrative reports, summaries, tables, statements
  • Perform basic bookkeeping tasks, including invoicing
  • Oversee and co-ordinate office administrative procedures
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Co-ordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Carry out administrative activities of establishment


  • Must be able to speak English
  • Secondary (high) school graduation certificate
  • 2 years to less than 3 years of experience
  • Work Conditions and Physical Capabilities: Tight deadlines, Attention to detail
  • Ability to Supervise: 3-4 people, 5-10 people
  • Personal Suitability: Organized, Flexibility, Reliability, Excellent oral communication, Effective interpersonal skills
