Administrative Assistant
JOB DESCRIPTION:
The candidate must be able to fulfill the following job duties effectively and efficiently.
Job Duties:
- Prepare, input, and revise various documents (correspondence, invoices, presentations, brochures, publications, reports) using machine dictation and handwritten notes.
- Manage incoming physical and electronic mail, coordinating information flow internally and externally with different departments and organizations.
- Organize and confirm appointments and meetings for the employer.
- Handle office supplies, order inventory, and maintain stock levels.
- Manage telephone and electronic inquiries, relay messages, and answer calls.
- Establish and maintain both manual and computerized filing systems.
- Develop and implement office procedures.
- Welcome and assist visitors, directing them to the appropriate person or department.
- Record and draft minutes of meetings.
- Coordinate travel schedules and reservations.
- Compile data and statistics to support research efforts.
- Provide supervision and training to office staff on procedures and software usage.
- Plan and oversee conferences as needed.
