We have a strong national presence with deep roots in Aboriginal law, and now we’re seeking an experienced and highly organized Executive Assistant & Partner Liaison (EAP) to provide strategic, administrative, and operational support to the CEO and our law firm’s governance committees from our office located in Victoria B.C.

What You’ll Do

You will be the main point of contact for strategic collaboration and communication between the CEO and the Firm’s governance committee. The EAP is a key liaison role for achieving balance of the primary responsibilities and tasks of the CEO with Firm Partners. Primary responsibilities and tasks will include various modes of communication (email, phone, meeting minutes, video calls, etc.).

The EAP will also perform other administrative tasks that support the firm’s senior leadership to stay effective, efficient, and connected.

  1. Review, prioritize, and action communications directed to the CEO and Director of Administration. Draft and prepare responses to correspondence for internal and external communications – as a primary point of contact.
  2. Coordinate scheduling of governance committee meetings and maintain details of action items to bring forward with reminders and follow-up, as required.
  3. Gather documents, draft agendas, take meeting minutes, maintain records, and coordinate schedules and logistic coordination for meetings in the calendar.
  4. Answer and respond to phone calls, communicate messages, prepare briefing materials, reports, and presentations to share as organized documents, on behalf of the CEO.
  5. Coordinate travel arrangements and itineraries for the CEO and partners, as required.
  6. Maintain calendars and progress reports for action items, strategic initiatives, and priority tasks for the CEO and Director of Administration.
  7. Coordinate governance committee, leadership, and partner communications and composition.

What You’ll Bring

  1. Exceptionally organized, detail-oriented, and skilled in time management.
  2. Experienced communicator in legal services or professional administration, comfortable collaborating with senior leaders.
  3. Technologically proficient, resourceful, and positive.
  4. Reliable under pressure, maintains discretion and professionalism while managing multiple priorities.

Qualifications

  1. A bachelor’s degree in a related discipline or equivalent experience.
  2. 10+ years’ experience as an executive assistant or administrative professional supporting high-level managers, leadership, and senior executives in a strategic and administrative capacity.
  3. Training and experience in the legal services industry, as well as expertise in project and change management, event planning, financial accounting, public relations, human resources, and governance committee coordination, are considered valuable assets.
  4. Advanced use and knowledge of MS Office (Word, Outlook, Excel, PowerPoint), including Styles, Tables of Contents, and Adobe Acrobat or similar document processing programs.
