Funding Coordinator

POSITION SUMMARY:
Reporting to the Funding Manager, the Funding Coordinator is a highly organized individual who provides support to the Funding Manager to maximize grants and other funding available to Westbank First Nation (WFN). The Funding Coordinator identifies grant opportunities, communicates information to department managers, writes and submits grant applications, assists project leads in adhering to grant and funding reporting requirements, runs General Ledger reports in VADIM (iCity), and completes other grant and funding related tasks as directed. The Funding Coordinator tracks all WFN grant requests and is responsible for the update, maintenance, and management of the grant and funding databases.
EDUCATION/EXPERIENCE
- Post Secondary Degree in Business, Project Management, or related field
- Formal introductory training in Accounting is an asset
- General knowledge of federal, provincial, and other grant and funding programs
- 2 years of experience in grant research and writing, and funding development
- Understanding of the health services sector is considered an asset
- Experience working with and/or knowledge of Indigenous communities and governments is desired
- An equivalent combination of education and experience may be considered
REQUIREMENTS
- Acceptable criminal record and credit checks required
- Maintains a high level of confidentiality and uses discretion on all matters relating to the affairs of the Westbank First Nation and its’ affiliates
JOB DUTIES/RESPONSIBILTIES
- Assists the Funding Manager by ensuring funding and grant opportunities are prioritized and communicated to the appropriate department managers
- Ensures that grants and funding opportunities are in alignment with WFN’s Comprehensive Community Plan, Chief and Council’s Strategic Priorities, and Departmental Workplans
- Researches and identifies grants and other funding sources that support key Westbank First Nation initiatives
- Assists with preparing, organizing, and tracking grant and funding applications, including tracking grant and funding status
- Assists with managing successful grant and funding applications including informing the Accounts Receivable department
- Assist the Funding Manager in working in collaboration with the Finance Department and the Directors/Managers to identify funding gaps during the annual Budget process
- Provides financial General Ledger reporting information to department managers to inform them of financial expenditures and funding balances, as well as reporting deadlines
- Works with Finance and other WFN departments to create general ledger and department coding
- Assists the Funding Manager with updating and maintaining the Records Management System
- Focus on productivity, process improvement, and beneficial change
- Creates and maintains recurring and ad-hoc reporting, supporting the interpretation and troubleshooting of the underlying data
- Demonstrates strong customer service orientation and delivers services within contract and internal requirements
- Liaises with internal and external stakeholders on grants, funding, and related projects
- Represents the team in a variety of meetings with internal and external stakeholders
- Performs all duties and responsibilities in accordance with the Westbank First Nation policies, standards and procedures, and as directed by the Funding Manager
KNOWLEDGE/SKILLS/ABILITIES
- Advanced level in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams)
- Experience in Adobe Acrobat
- Knowledge of Vadim-iCity and other Financial Enterprise Resource Planning (ERP) systems
- Knowledge of Monday.com or other daily task and work management tools
- Highly organized, accurate, with strong attention to detail
- Strong written and oral communication skills
- Strong research and writing skills
- Problem solving and decision- making capabilities
- Ability to work effectively, both independently and cooperatively, in a team environment
- Ability to streamline functions and passion to learn and grow
- Knowledge of accounting systems, budgets, electronic filing systems, and Excel spreadsheets
- Introductory accounting skills
- Ability to multitask, prioritize workload, and cross-train; willingness to work as a team member
- Strong analytical and problem-solving skills
- Ability to understand and work within Westbank First Nation procedures and standards including standards of ethics and confidentiality
