ONWA MANDATE

The Ontario Native Women’s Association (ONWA) is a not for profit organization that empowers and supports Indigenous women and their families in the province of Ontario.  ONWA encourages the participation of Indigenous women in the development of Federal, Provincial, Municipal/Local government policies that impact their lives and ensure issues affecting Indigenous women and their families are heard at key government tables.

ONWA is committed to providing services that strengthen communities and guarantees the preservation of Indigenous culture, identity, art, language and heritage.  Ending violence against Indigenous women and their families and ensuring equal access to justice, education, health, environmental stewardship and economic development, sits at the cornerstone of the organization.  ONWA insists on social and cultural well – being for all Indigenous women and their families, so that all women, regardless of tribal heritage may live their best lives.

SCOPE:

The Junior Finance Clerk is responsible for the maintenance of the Ontario Native Women’s Association (ONWA) books of account in accordance with Canadian Generally Accepted Accounting Principles, and with ONWA policies and procedures.  Finance Clerks provide both clerical support to the Finance Manager and financial management activities for the entire Finance portfolio as required.  Their responsibilities include performance of regular accounting and administrative functions, including accounts receivable, accounts payable, reconciliations, journal entries, financial reporting, filing, and data entry.  The Junior Finance Clerk is under the direct, daily supervision of the Finance Manager.

QUALIFICATIONS:

  • Working towards or obtained a post-secondary diploma related to Finance Administration or Business Administration. One or more years in a related role is also acceptable.
  • Working knowledge of MS Office, proficiency in Excel is a must. Experience with accounting software and applications is an asset.
  • Willing to learn other areas of the finance department
  • Excellent attention to detail and high degree of accuracy.
  • Knowledge of Indigenous Governance structure and Indigenous communities.
  • Excellent organizational skills; demonstrated self-confidence and an ability to follow through on assigned duties independently within strict deadlines.
  • Excellent written and oral communications and willingness to seek and offer assistance in providing solutions.
  • Demonstrated excellent administrative ability.
  • Professionalism in dealing with sensitive information while maintaining the utmost of confidentiality information.
  • Honest and leads with a sense of integrity
  • Excellent work ethic, can be relied upon, is punctual, dependable and motivated to provide quality work
  • Ability to speak Indigenous language considered an asset.
  • Current, valid vulnerable sector criminal records check. Valid 1st Aid/CPR.
  • A cellular phone and internet access is required within this position
  • Must be willing and able to work a flexible working from home arrangement if required. This may include a combination of virtual remote work in your home and in office arrangements.  This will be based on operational needs and will be determined by the ONWA.

  • She is Wise Leadership Informed – Understands to incorporate the Four Agreements within daily responsibilities and combined with ONWA’s cultural teachings contribute to the empowerment and leadership of Indigenous women within their communities.

RESPONSIBILITIES – SPECIFIC:

  • Receive and review invoices for payment, obtain appropriate expense account codes from budget authorities.
  • Process payments by cheques and by electronic funds transfer on a bi-weekly basis.
  • Receive and review expense claims submitted for reimbursement. Ensure claims are valid and paid in accordance with ONWA policies and procedures.
  • Reconcile and resolve Accounts Payable and Accrued Liabilities regularly.
  • Ensure supporting documentation for all credit and purchasing card transactions are provided, and that statements are reconciled within 10 days of statement date.
  • Prepare and input required journal entries, ensuring appropriate supporting documentation is provided.
  • Prepare ad hoc reports as required, such as cash flow projections, aged receivables, or aged payables.
  • Perform general office maintenance duties providing organized and proactive administrative, technical and logistical support to the department
  • Maintain complete, current, and accurate files to support all bookkeeping activities and financial transactions.
    1. Digitize historical documents for electronic file retention.
    2. Ensure financial records and continuity schedules are prepared for the annual, interim, and yearend audits, and for any other financial review or monitor.
    3. Actively participate and support all audit, review, and monitoring activities.

RESPONSIBILITIES – ADMINISTRATIVE:

  1. Complete quarterly reports on or before the requested due date.
  2. Complete reports to funders as required.
  3. Complete and attend supervisions with Manager on a regular basis.
  4. Complete and attend training as required.
  5. Other reports or admin as assigned.

RESPONSIBILITIES – PUBLIC RELATIONS:

  1. Promote the organization within the community.
  2. To adhere to professionalism in representing the organization at all times and maintain good communications.

EXPECTED STANDARDS OF PERFORMANCE:

  1. Adhere to the Policies and Procedures as set by the ONWA.
  2. Representation on committees as required for the enhancement and benefits of ONWA’s programs.
  3. To network and promote the ONWA and all related programs. Maintain good communication.
  4. Maintain professionalism at all times.
  5. The completion of functions outlined in the description and the achievement of goals set to a high level.
  6. Attendance and conduct at work according to the requirements of the Association’s Personnel Policy.
  7. Adherence to the Code of Conduct, and positive relationship building.

AUTHORITY:

To execute duties and responsibilities outlined in the job description.

ACCOUNTABILITY:

The Finance Clerk will be directly accountable to the Finance Manager for the proper completion of the functions outlined in the job description.
